Easy Ways a Business Can Increase Productivity and Efficiency in the Workplace

August 27, 2018 by Marsha Kelly, Serial Entrepreneur

In order to have a successful business, you need to stay on top of daily tasks to ensure you never fall behind. To do this, you need to build a team of solid employees, have them work hard at the tasks at hand, and stick to a schedule. If you’re looking to stay ahead of the game, then you’ll want to constantly look for ways to increase efficiency in the workplace. To do that, follow these tips and you’ll find your company and your employees thriving.

Hold Daily Meetings

One way to increase efficiency in the workplace is to make sure everyone is on the same page each day. Your employees should know exactly what’s expected of them daily. In order to ensure that everyone knows what to do, hold daily meetings. Emails can get lost which is why face-to-face meetings whenever possible are crucial. You can tell each employee what task they need to accomplish and when their deadline is. Checking in periodically ensures that everyone stays on task to accomplish their goals.

Automate Tasks to Save on Time

If you find yourself spread too thin with the daily up-keeping of a business, you’ll want to look for places where you can save on time. To do this, consider automating tasks that you don’t need to be directly a part of. For example, a time card app will let you directly see what your employees are. You can see where they are, what they’re doing, and how many hours they are working. This helps you see who is accomplishing what and in what areas you can improve employee productivity.

Allow Employees to Have Short Breaks

If you want to keep up employee stamina, you need to offer them short breaks. This helps them get out, collect their thoughts, and relax before heading back to work. Small breaks have been shown to increase the productivity of your workers. That’s because it allows them to recover, especially if they’re doing vigorous work. Once they’re done with their break, they come back and are able to work hard. These breaks also give them something to look forward too. Offer them breaks after they’ve hit certain goals so they can break before accomplishing the next task.

Train Employees Thoroughly

It’s important that employees go through the proper training before they start. That way, they’re not inadvertently waiting company time by doing a task poorly or incorrectly. If an employee still has questions once they’re done with their training, keep a watchful eye on them or have another employee periodically check their work. This ensures that they don’t spend a lot of time doing a task incorrectly. It’s important to fix problems when they’re first noticed and redirect an employee who is doing something wrong. With proper training, however, you can avoid that altogether.

It’s important to get to know your employees and what they’re good at. If you are working on a deadline, offer the assignment to employees who you know can get the task done correctly and quickly. If you have an assignment that requires a lot of tedious work, give that to the employee who you know has a keen eye for details. By giving employees special tasks, they will also feel special because you are trusting them with something. When individual employees are trusted with particular tasks, they will work hard to get it done because they feel special for being singled out for the task.

Check in Through Technology

Technology makes it easy for business owners and managers to check in on their employees. Make use of email to just pop in and see how things are going with employees. If you’re traveling, you can see how things are going in the workplace by utilizing video conferencing. This is a great way to ensure everyone stays on task. You can also use a messaging service so that you can send quick messages to anyone employed by your company, no matter where they may be. If you have clients across the globe, technology also makes it possible to create that personal connection.

Keep Everyone on Task

In order to keep the workplace running smoothly and efficiently, you’ll want to make sure everyone knows what’s expected of them. Check-in on employees whenever possible and make sure they know that they can come to you with any problems. If you want to cut down the time it takes to do things, automate tasks. That way, you don’t have to manually handle things that can be done by a computer. Technology makes it possible to keep an eye on employees and let them know what’s expected of them. Technology is also great for employers because they can keep track of how much time an employee spends doing what.
